Windows Search builds an index so File Explorer, Start menu search, Outlook, and sometimes Microsoft Edge can return results faster. By default, that index may include personal folders, email content, attachments, and browsing-related data if those apps are integrated with Windows Search. This can raise privacy concerns and also cause extra background disk or CPU activity while Windows keeps the index up to date.
Common Symptoms
- Search results show personal files, emails, or browser-related content you do not want indexed
- Outlook messages or attachments appear in Windows search results
- SearchIndexer.exe uses CPU, disk, or battery in the background
- You want faster privacy-focused control over what Windows can search
- Edge history or other personal app data seems easier to surface than expected
How to Fix It Manually
-
Open Windows Search indexing settings
- Press
Windows + Ito open Settings. - In Windows 11, go to Privacy & security > Searching Windows.
- In Windows 10, go to Search > Searching Windows.
- Press
-
Reduce what Windows indexes
- Under Find my files, select Classic instead of Enhanced.
- This limits indexing mainly to your desktop, documents, pictures, and a few default locations instead of your whole PC.
- If you want stricter privacy, review the listed indexed locations and avoid adding extra folders.
-
Exclude personal folders from indexing
- In the same Searching Windows page, scroll to Exclude folders from enhanced search or the exclusions area.
- Click Add an excluded folder.
- Add folders that contain sensitive files, such as:
C:\Users\YourName\Documents\PersonalC:\Users\YourName\Desktop\Private- any custom work, finance, or archive folders
- Repeat for each folder you do not want included in search.
-
Remove Outlook from the Windows index
- Press
Windows + R, typecontrol srchadmin.dll, and pressEnterto open Indexing Options. - Click Modify.
- If Microsoft Outlook appears in the indexed locations list, uncheck it.
- Click OK, then Close.
- If Outlook still appears in search, open Outlook and check its own settings:
- Go to File > Options > Search.
- Review whether Outlook is set to include results from Windows Search.
- Press
-
Limit indexed file types and rebuild if needed
- In Indexing Options, click Advanced.
- Open the File Types tab and uncheck file types you do not want indexed by content.
- Back on the Index Settings tab, click Rebuild if old results keep appearing after your changes.
- Rebuilding can take time, and search results may be incomplete until it finishes.
-
Reduce Edge-related search exposure
- Open Microsoft Edge.
- Click the three-dot menu > Settings > Privacy, search, and services.
- Clear browsing data you do not want retained.
- Then go to Settings > Profiles > Sync and turn off syncing for data you do not want shared across devices.
- While Edge history is not always indexed as a normal file location, reducing retained browser data helps limit what can surface through Windows-integrated search features.
-
Disable Windows Search entirely if necessary
- Press
Windows + R, typeservices.msc, and pressEnter. - Scroll down to Windows Search and double-click it.
- Set Startup type to Disabled or Manual.
- Click Stop, then Apply > OK.
- This is the most aggressive option and will slow or limit search in Start, File Explorer, and apps that rely on the index.
- Press
